Fresh Start 5K Race – Logistical Coordination

Bayne LLC was contracted to provide full logistical services coordination for the 2025 Fresh Start 5K Race, a flagship community health event established by Mayor Bowser. Responsibilities included:

• Coordinating and securing all event talent (DJs, hosts, bands, performers, fitness instructors).
• Managing pre-event distribution of giveaways (drawstring bags, water bottles, race bibs).
• Overseeing talent logistics and staffing on event day.
• Supplementing DPR volunteer efforts with additional support staff.
• Serving as the primary liaison for all vendors and day-of operations.

Key Deliverables and Results:

• Successfully secured and managed all contracted talent, including prominent figures such as DJ Heat, DJ Gemini, The Vybe Band, and The Commanders Band.
• Distributed 6,500 branded giveaways to participants through five DPR recreation centers prior to the event.
• Provided and managed additional event support staff for check-in areas, talent assistance, and activation zones.
• Ensured all talent payments were completed accurately and on time.
• Managed onsite event operations for a crowd of approximately 5,000 participants, meeting DPR’s expectations.

Challenges and Resolutions:

• Logistical Challenges: Minor access delays due to unbriefed Park Rangers and MPD officers. Future recommendation included enhanced pre-event coordination with city agencies.
• Volunteer Management: Some confusion regarding volunteer oversight. Bayne fulfilled all contractual staffing requirements and recommended clearer volunteer coordination language in future agreements.

Lessons Learned and Innovations:

• Implemented a plan for a dedicated talent check-in station near the stage to improve operational flow.
• Recommended placing a full-time stagehand on site for continuous event support.

Outcome: The 2025 Fresh Start 5K was a highly successful event, achieving its health and community engagement goals.
